Raised Floor Procurement for South America: A Wholesaler Checklist

For a wholesaler serving South American construction projects, repeatable specifications are as important as the first purchase price. A mixed order of panels, supports and finishes needs clear identification so the right components reach the right site and future orders remain compatible.

Use one order schedule for each approved system. Avoid substituting materials simply because they share the same nominal dimensions or a similar surface colour.

Separate project orders from stock orders

A project order should follow an approved room schedule and drawing revision. A stock order requires a different plan: identify which heights, finishes and accessories customers repeatedly request, then record the limits of each stocked configuration. Do not represent a standard stocked panel as suitable for every technical room.

Maintain distinct references for steel technical floors, OA office floors and other approved systems. Record matching pedestals and stringers as part of the system reference.

Build a procurement control sheet

Field Why the wholesaler needs it
Project and drawing revision Prevents ordering against superseded dimensions
Panel and finish reference Makes sample approval and repeat supply traceable
Finished height and support design Keeps the understructure matched to the order
Accessory schedule Reduces missing parts at installation
Test and approval documents Supports the customer’s technical review
Package identification Separates destination sites and installation zones
Agreed spares Supports maintenance without assuming universal interchangeability

Compare commercial offers consistently

Request the same quantities, component list and finish from each shortlisted supplier. List special cut panels, ramps, steps, floor boxes, lifting tools and edge details separately where required. An offer for panels alone cannot be compared directly with a complete floor package.

State the delivery term and named place in the order. The ICC’s Incoterms framework provides a basis for defining buyer and seller responsibilities. Confirm the chosen term with the parties rather than assuming freight, insurance, unloading and import costs are all included.

Localize documents for the destination

Brazil, Chile, Peru and other South American markets should not be treated as one import or approval jurisdiction. Ask the destination importer and project consultant to identify their required documents. Agree the language needed by the purchaser, installer and facility team; a Portuguese document package and a Spanish one serve different audiences.

Do not require notarization or a particular certificate by default without checking its purpose. A useful document list names the issuing party, recipient and deadline for each item.

Consolidate shipments only when the programme permits

Combining orders may help transport planning, but it also creates dependencies between projects. Confirm which approval or production delay would hold the whole shipment. Request package sizes and weights before finalizing container planning, and keep site-specific components identifiable.

At receipt, check quantities, visible condition and labels against the packing list before releasing material to installers. Preserve photos and batch references for resolving discrepancies and planning repeat supply.

Plan your next order

Send SunTree Floor the destination countries, project or stock purpose, required systems, quantities and delivery sequence. Request a procurement quotation that separates each configuration, its accessories and commercial scope.
