Raised floor cost depends on the specified assembly and the scope of supply. A price per square metre is useful only when buyers know which panel, finish, support structure and accessories it includes. For contractors and importers in the Middle East and South America, the first step is a comparable RFQ rather than a generic international price range.
This guide explains how to structure a quotation so a project team can compare offers and identify missing costs before ordering.
What changes the product price?
The proposed panel construction, performance requirements, finish and quantities affect the offer. So do finished floor height, the selected support design and project-specific components. A standard room with repeated full panels is a different supply package from a room with many edges, ramps, service openings and special details.
Ask suppliers to identify the exact model and finish. Avoid descriptions such as “standard quality” or “heavy duty” without an agreed specification. If alternatives are offered, compare them as separate configurations with clear differences.
Divide the quotation into reviewable lines
| Cost group | Items to check |
|---|---|
| Panels and finishes | Model, panel dimensions, finish grade, quantity and unit |
| Understructure | Pedestals, stringers where required, fixings and support height |
| Edge and access details | Perimeter supports, ramps, steps and special cut-panel details |
| Service accessories | Floor boxes, grommets and specified airflow components |
| Maintenance supply | Lifting tools and agreed spare components |
| Export preparation | Packing method, labels, package dimensions and weights |
| Delivery scope | Named delivery point and allocation of transport responsibilities |
| Local work | Receiving, storage, installation and testing, if included |
Confirm whether quantities include layout-related cuts and spare stock. These allowances should follow the drawing and maintenance plan rather than an unexplained percentage.
Compare an equivalent system before comparing price
For example, imagine two offers using the same room area. Offer A includes panels only. Offer B includes panels, the approved pedestal arrangement, stringers and lifting tools. Their headline rates are not yet comparable. Ask both suppliers to price the same component schedule, then list any remaining exclusions.
This is a scope comparison, not a claim that the higher price is automatically better. A complete offer still needs technical review against the specified loading, finish and installation requirements.
Keep landed-cost estimates tied to the destination
Saudi Arabia, the UAE, Qatar, Brazil, Chile and Peru have different project and import contexts. Ask the destination importer or logistics provider to estimate the shipment’s local costs using the actual packing and commercial information. Do not transfer a previous country’s tax or freight assumption into a new project budget.
Record the chosen delivery term, named place and edition where Incoterms are used. The ICC’s Incoterms information explains their role in defining buyer and seller responsibilities. The order still needs an agreed product scope, payment arrangement and project programme.
Ask what happens after delivery
Identify installation responsibilities and the documentation the installer will receive. Confirm replacement references and the process for reporting damaged or missing components. Ask for the agreed lead time at quotation and reconfirm it when the technical specification is approved; do not treat a general catalogue statement as a shipment commitment.
The cheapest incomplete package may cause extra procurement later. Conversely, an accessory should not be included merely because it appears in a standard bundle. Review it against the drawings and intended operation.
Copy this RFQ checklist into your inquiry
- Project country, city and delivery location.
- Application, drawings and floor area.
- Finished floor height and required service clearance.
- Equipment loads and the consultant’s specification.
- Panel type, finish and any electrical requirements.
- Support arrangement and accessory schedule, if already defined.
- Required date on site and proposed shipment terms.
- Installation scope and document requirements.
