Raised floor delivery is easier to control when the receiving plan is prepared before dispatch. For a Gulf construction project, a shipment may reach the destination while the installation area is still being finished, access routes are restricted or another trade occupies the intended storage space.
The procurement team should connect the delivery schedule with site readiness. This article focuses on the practical handover from transport to storage and installation; it does not assume one shipping route or lead time for every Gulf destination.
Obtain package information before booking site access
Ask for package quantities, dimensions, gross weights and handling instructions. Check them against the unloading area, available equipment, door openings, lifts and route to the storage location. The site team should confirm any building or floor-loading restrictions before pallets are positioned.
A useful receiving plan identifies the vehicle arrival point, unloading responsibility and a contact who can resolve access problems. Confirm delivery appointments and any gate documentation with the destination site rather than relying on the shipping address alone.
Decide whether phased delivery is useful
Delivering by installation zone may reduce double handling if the programme and storage capacity support it. It also requires careful packing: panels for one zone are of limited use if the matching supports and accessories arrive later.
If a single shipment is preferred, label its contents by system and zone. For mixed floor types, distinguish panel models, finishes and support ranges so visually similar components are not distributed to the wrong room.
Inspect the shipment systematically
| Receiving check | Record to keep |
|---|---|
| Package count | Delivery and packing-list references |
| Visible packaging damage | Photos, package identifier and date |
| Model and finish labels | Match to the approved order schedule |
| Accessories | Quantities and the zones or systems they serve |
| Suspected damage or shortage | A separate exception record and assigned follow-up |
Agree the unpacking and inspection procedure with the supplier. If packages must remain closed for protection, record what has and has not been inspected. Avoid signing a statement that implies an internal inspection occurred when only the outside was checked.
Provide suitable storage
Follow the supplied limits for stacking, moisture, temperature and handling. Select protected storage that will remain available until the materials are needed. Gulf outdoor conditions should not be treated as acceptable storage conditions merely because the finished floor will be used in the region.
Do not invent one universal acclimatization time. Ask whether the particular materials and adhesive or fixing systems require conditioning, and follow their instructions. Keep packages identifiable when protective wrapping is removed.
Release materials to a ready work area
Before installation, confirm the base condition, approved levels, access arrangements and completion of conflicting work. Identify who accepts the area as ready. Moving materials repeatedly through unfinished spaces can complicate accountability for damage and missing components.
Set aside agreed maintenance spares and keep them separate from unallocated site stock. Record whether a spare is a standard full panel, a special component or a finish-specific item; these should not be consumed without updating the inventory.
Include logistics in the purchase order
State the named delivery point, commercial term, receiving responsibilities and required packing information. Ask the local importer or logistics provider to confirm the documents for the actual destination. Manufacturing completion, dispatch and arrival on site are different milestones and should have separate dates where relevant.
