A completed raised floor still needs a usable handover package. For an Oman or wider Gulf technical-room project, the facilities team should be able to identify the installed system, locate services and arrange a replacement without reconstructing the original procurement history.
An operation and maintenance manual, usually called an O&M manual, should describe the floor actually installed. A folder of generic brochures leaves important questions unanswered, especially where the approved design changed during construction.
Record the installed system identity
List the panel model, finish reference, understructure and accessories. Include the supplier, order reference, installed areas and relevant batch identification. Distinguish approved alternatives from the original tender selection so the manual does not describe components that never arrived.
Attach the final approved technical schedule and applicable test documents. Label the configuration covered by each document. A report for another panel or support arrangement should not be filed as evidence for the installed floor without an accepted technical justification.
Deliver drawings that help technicians find things
The as-built plan should show the grid reference, room names, access zones, special panels and significant openings. Identify independently supported equipment and details that affect panel removal. Mark revisions made during installation rather than simply stamping the tender drawing as-built.
For example, a cable entry moved one grid bay during construction should appear in the final drawing and panel schedule. Link the location to a photograph where this improves identification. Keep an editable source file as well as the agreed record format if the contract requires both.
Organize the package by maintenance task
| Facilities task | Information needed |
|---|---|
| Lift a panel | Approved lifting method and access precautions |
| Clean the surface | Finish-specific products and restrictions |
| Replace a component | Exact part reference and compatibility details |
| Move equipment | Applicable loading information and review process |
| Inspect the void | Access map and reinstatement procedure |
| Investigate a defect | Handover observations and responsible contact |
The overseas maintenance guide can support the manual’s structure, but the final instructions must correspond to the installed product and operating environment.
Hand over spares as identified components
Inventory spare panels, supports and accessories separately from installed quantities. Record their storage location, condition and identification labels. A box labelled only as floor parts creates uncertainty when the facilities team needs a particular head, gasket or finish.
Include instructions for preserving the spares and a process for approving substitutions. Refer to the spare parts planning guide for an inventory approach; adapt quantities to the project instead of adopting a universal percentage.
Close the inspection record and explain open items
Include the agreed inspections, recorded results and accepted corrective actions. For any remaining issue, name the responsible party, target date and temporary operating restriction where applicable. Keep the punch list separate from claims that the work has already been accepted.
Where electrical, acoustic or other project testing was specified, include the actual records and their scope. Do not replace missing commissioning evidence with a product brochure. Warranty documents should state the agreed terms and contacts rather than an assumed service life.
Demonstrate access and retain the training record
Arrange a practical handover demonstration covering panel lifting, replacement orientation and reporting damage. Have the facilities team practise the approved sequence where appropriate. Record attendees, documents issued and unresolved questions so the training can be repeated for future staff.
When requesting a SunTree project quotation, include the O&M deliverables and required document language in the scope. Agreeing these items before the order makes the handover obligations clear to the supplier and installer.
