A raised floor alternative can offer a different construction, supply arrangement or price. For a South American project, the procurement team needs a clear method to decide whether that alternative satisfies the tender. Similar panel dimensions and the words equivalent product are not enough to establish equivalence.
Review alternatives against the issued requirements before making a commercial comparison. Keep the proposed differences visible so the designer and client can make an informed decision within the project’s approval process.
Freeze the comparison baseline
Collect the current specification, drawings, equipment schedule and addenda. Record their revisions in the evaluation sheet. If the tender has conflicting requirements, seek a project clarification and use the same answer for every bidder.
Separate mandatory requirements from preferences and items still being developed. A supplier should not have to guess whether a named finish is essential or whether another finish can be considered. Likewise, a technical reviewer should not silently change the specification to fit a convenient offer.
Build a requirement-by-requirement matrix
Ask the supplier to identify its offered model and supporting document for each requirement. Use clear statuses such as demonstrated, deviation and evidence pending. Avoid treating a blank cell as confirmation of compliance.
| Requirement | Supplier response to request |
|---|---|
| Panel construction and finish | Model, section and finish reference |
| Load performance | Test method, configuration and applicable result |
| Floor height | Proposed support arrangement and adjustment limits |
| Electrical requirements | Assembly details and specified test evidence |
| Fire or acoustic requirements | Relevant report and scope of application |
| Openings and accessories | Included details, quantities and exclusions |
| Delivery package | Packing, documentation and agreed supply scope |
Use the raised floor quotation checklist to keep commercial exclusions alongside the technical comparison.
Check evidence before comparing headline values
Confirm that each report identifies the proposed product and relevant assembly. Review test conditions and acceptance criteria, including the panel support arrangement. Different load types or test methods should not be compared as though their numerical results were interchangeable.
For example, an offer that quotes only an ultimate load does not answer a requirement for a working load with a defined deflection criterion. Record the missing evidence and request clarification rather than applying an invented conversion factor.
Assess changes to the rest of the project
An alternative panel thickness can affect the understructure height, thresholds and service clearance. A different edge profile can affect replacement compatibility. A changed finish can affect maintenance instructions or the electrical-control design.
Ask who will revise drawings and review those interfaces, and include that work in the comparison. A lower supply price may not describe the complete cost of accepting a design change. For existing floors, also use the replacement panel compatibility checklist to assess the proposed interface.
Use samples for the questions they can answer
A labelled sample can demonstrate appearance, dimensions and a proposed interface. It cannot replace missing load, fire or other required performance evidence. If a mock-up is needed, agree what it will demonstrate and which unresolved requirements need separate documentation.
Retain the approved sample or mock-up record with the evaluation. If a later production substitution changes the approved configuration, reopen the relevant review rather than relying on the original sample approval.
Record the decision and its conditions
The final decision should name the approved model, accepted deviations, required follow-up documents and the party authorized to approve them. Reflect that decision in the purchase order and inspection plan. Keep rejected alternatives distinct from the selected package to avoid ordering confusion.
To request a SunTree tender response, send the specification and comparison matrix with the required submission date. Ask for explicit supporting references and a deviation schedule so the proposal can be reviewed against the same baseline as other offers.
